Training camp plans are often finalized while consulting the accommodation. Share the current range, such as ‘around 20 participants’ or ‘the venue is still a candidate.’ It is easier to coordinate when you explain that information may change rather than presenting an uncertain detail as final.

Check not only whether rooms are available but also whether the proposed conditions fit group operations. Organize what is included in the rate, the deadline for group-size changes, procedures for a late arrival, meal and bathing times, and vehicle conditions. Record details that were agreed verbally as well.

The first message does not require a fully completed itinerary. Divide conditions into essential requirements, preferred options, and items that can be decided later to receive a clearer answer.

The goal is not to remove all uncertainty, but to provide a range and the date when it will be finalized. When the facility asks a question, assign the person who can answer and a deadline, and do not leave pending items unattended.
